How to use RenderBid
Two short tracks. Reps follow one appointment on the iPad, from sign-in to the signed agreement. Office admins set up the products, prices, and people the reps work from. Pick yours and go step by step.
One appointment, start to finish
You run the conversation; the app keeps the order. Eight steps at the kitchen table.
Step 1: Sign in on your iPad
Open the app for the trade you sell: RenderBid Siding, RenderBid Decks, or RenderBid Windows.
Sign in with the invitation your office admin sent you by email. One login works in every app your company uses.
Tip: Forgot your password? Tap Forgot password on the sign-in screen and follow the link we email you.
Step 2: Open or add the customer
Open the customer your office already sent over from the lead, or add the homeowner yourself: names, project address, phone, email, appointment date, and lead source.
Note what they are worried about, the result they want, and their timeframe. Those notes come back later in the appointment, so you do not have to remember them.
Tip: Your name and contact details print on the proposal, so the homeowner knows who to call.
Step 3: Measure and build the project
Enter the measurements for your trade. The app flags a missing measurement, so you never get to a price with a hole in it.
Choose the products, profiles, options, and colors from your company's catalog. You pick; you never type a price. Only colors that work with the profile you chose are offered, and trim colors are chosen separately with a suggested match.
Tip: Colors on a screen are digital representations. Have the homeowner confirm final colors against a physical sample.
Step 4: Take the house photo and create the before-and-after
Take a clear photo of the house, then generate the picture of it with the project finished, using the exact products and colors from the build.
Review it before the homeowner sees it. If something needs a correction, type one short instruction and generate it again. You can save up to three designs and mark the favorite.
Tip: Stand back far enough to fit the whole side, shoot straight on in daylight, and keep cars and people out of the shot. Creating the picture needs internet, so use your phone's hotspot if the signal is weak.
Step 5: Present the investment in stages
The price appears one stage at a time: the retail investment first, then your approved promotion with the savings and the date it is good through, then the payment choices, then any same-day options your company uses.
The homeowner picks an option, and it carries into the proposal and the agreement.
Tip: A discount outside the limit your company set needs a manager's approval and is logged. Cost, margin, and commission never appear on any screen the homeowner sees.
Step 6: Build and share the proposal
Create the proposal from the project: the selections, the picture of their home, the price, the payment option they chose, and your company's branding.
Present it on screen and send it by email as a PDF. Each proposal is good for 30 days, and changing the job makes a new version.
Tip: If one decision maker is not home, share the proposal tonight so they see their own house, the scope, and the investment.
Step 7: Sign the agreement on the iPad
The agreement fills itself in from the project. Open it full screen and hand the iPad to the homeowner for the e-sign consent, initials, and signature.
Each signature is saved as it is added, so nothing is lost if the appointment is interrupted. If they want to sign later, send a secure link instead.
Tip: Before you hand it over, check the special notes, such as a home built before 1978 or HOA approval.
Step 8: Send it to the office
Send the sold-job package to the office: scope, documents, deposit, and timeline in one record.
The signed agreement is saved to the project as a PDF, so the office has the sale the moment it is signed.
Tip: Nothing gets typed in twice. The office works from the same record you built at the table.
You set the rules. The app enforces them.
Everything a rep sees at the table comes from here. Seven steps to keep it right.
Step 1: Sign in to the office side
Sign in with the invitation in your email. As the office admin you see the settings reps do not: products, pricing rules, promotions, users, and reports.
Tip: We load your catalog, pricing, and documents during setup, and you approve the build before anyone uses it. Your first day is a review, not data entry.
Step 2: Add products and prices
Keep your catalog current: products, colors, units, costs, labor, and warranties.
Each product has its own unit, such as by the square, linear foot, square foot, or each, so reps enter measurements the same way every time.
Tip: For a large price book update, send the new sheet to Support@RenderBid.com and we load it for you.
Step 3: Set pricing rules and promotions
Set your markup and margin rules and the most a rep may discount without a manager.
Add the promotions reps can apply, with the discount and how long the offer lasts.
Tip: Anything outside your limits goes to a manager for approval and is logged, so you can see who asked and why.
Step 4: Set financing and deposit rules
Add the financing programs you approved, with their terms and the lender's disclosure. Reps show estimated monthly payments only from these.
Set your deposit and payment schedule. It prints on the agreement and adjusts when the homeowner pays cash or finances.
Tip: When a lender changes its rates, update the program, or send us the new program sheet.
Step 5: Set up proposal and contract templates
Your proposal and agreement carry your logo, address, phone, and license number, and the contract fields fill in from each project.
Credentials and reviews can be approved separately for the on-screen presentation and for the printed proposal.
Tip: A signed agreement is saved as a fixed snapshot, so a template change never alters one that is already signed.
Step 6: Add users and roles
Add each person with their name, email, and role, and they get an invitation by email. The role decides what each person can see.
Every seat is for one named person. Reps never see cost, margin, or commission.
Tip: When someone leaves, remove their access right away. To drop a seat from your bill, tell support at least 48 business hours before your next billing date.
Step 7: Read the reports
See your pipeline, close rate, discounting, margin, and each rep's performance in one place.
Training completion is tracked too, so you know who has finished what.
Tip: Read close rate and discounting side by side. A rep who closes by giving away the promotion shows up there first.
Before your first appointment
- You can sign in on your iPad, and the app for your trade opens.
- You ran a practice appointment in the free online demo or with your team at training.
- You know your company's promotions and how far you may discount without a manager.
- Your iPad is charged, and your phone's hotspot is ready in case the house has weak signal.
- You have the support email and phone saved, just in case.
Want to practice first? The free online demo is a sample company that resets every night, so you can run a whole appointment without touching a real customer.
